Job Summary:
We are seeking a Data and Records Manager to oversee all sales-related contracts, documents, and compliance processes within our real estate operations. This role ensures that sales agreements, client records, and transaction data are properly managed, legally compliant, and efficiently processed. The ideal candidate must have strong Excel and data management skills, a high level of English proficiency, and experience in real estate sales documentation, contract management, and compliance oversight.
Key Responsibilities:
Contract Creation & Management:
- Draft, review, and manage real estate sales contracts, agreements, and MOUs.
- Ensure all sales contracts include accurate terms, conditions, and legal requirements.
- Coordinate with sales agents, legal teams, and clients to finalize agreements.
- Manage the entire contract lifecycle, including renewals, amendments, and cancellations.
- Maintain a systematic tracking process for all sales contracts and agreements.
Sales Documentation & Record Oversight:
- Oversee the organization, storage, and retrieval of all sales-related documents, including property listings, client records, and financial agreements.
- Ensure that all sales documents are accurately recorded, updated, and accessible to authorized personnel.
- Implement document control procedures to maintain the integrity of sales records.
Compliance & Regulatory Oversight:
- Work closely with legal and finance teams to ensure that all contracts and documents comply with real estate laws, financial regulations, and company policies.
- Oversee compliance across all sales processes, ensuring transactions follow legal and financial standards.
- Ensure proper risk management and document verification to protect company interests.
- Stay updated on real estate regulations, contract laws, and compliance requirements.
Sales Process & Operations Support:
- Monitor and oversee end-to-end documentation processes for property transactions.
- Support the sales team by ensuring that all necessary documentation is in place for smooth deal closures.
- Improve internal processes to ensure faster contract approvals and transaction processing.
- Act as the primary point of contact for document-related inquiries from sales, legal, and finance teams.
Data Management & Reporting:
- Maintain accurate databases and records of buyers, sellers, property transactions, and leads.
- Generate reports, insights, and data summaries for management decision-making.
- Ensure data integrity and accuracy in Excel spreadsheets and document tracking systems.
- Analyze sales trends, contract statuses, and compliance metrics using advanced Excel functions (e.g., PivotTables, VLOOKUP, Macros).
Audit & Compliance Monitoring:
- Conduct regular audits of contracts and records to ensure compliance and accuracy.
- Prepare detailed reports on document status, compliance issues, and risk assessments.
- Ensure that all sales-related data is secure, properly archived, and accessible when needed.
Salary & Benefits:
- Net Salary: 2,000 azn per month
- Bonuses: Performance-based, including:
- Sales Performance Bonus: Based on contract volume and accuracy.
